This position may be based in either Minneapolis, MN or Emeryville, CA and is hybrid in-office/work-from-home position.

The Program Administrator will provide a wide range of administrative and operational services to a designated group of BioMADE's Program Management staff. The Program Administrator will support Program staff during the post-award through project close-out process, providing detail-oriented and organized support, facilitating communication, and executing a variety of administrative tasks to ensure compliance with BioMADE's Programs processes and procedures.

Essential Duties and Responsibilities

Support dedicated program staff with administrative and operational tasks, including scheduling meetings, creating presentations, generating reports, and ensuring consistency across multiple levels of the organization. As a Process Champion, facilitate assigned team in adhering to established procedures ensuring policy compliance across all areas of work. Ensure that required deadlines are met. Create new forms and templates via Adobe Acrobat and/or Microsoft Word and update existing forms and templates on a regular cadence. Compile and review documents and provide editing assistance as needed. Complete detailed data entry and assist in the data integrity of various application platforms. Generate reports and presentations via Microsoft Word, PowerPoint, Salesforce etc. Collaborate with cross functional business units to ensure consistency, accuracy, and completeness of business documents. Coordinate and follow up on timelines/deadlines and track unresolved action items ensuring timely completion of tasks. Prepare detailed meeting agendas, record minutes, and follow-up with internal and external stakeholders. Maintain group calendars ensuring they are up-to-date and accurate. Assist with regular file maintenance ensuring compliance with organizational file retention policy. Arrange meeting space, computer, and telecommunications support for assigned team. Actively communicate administrative and operations policy changes or process updates to internal staff. Other duties as assigned. Summary
