Job Description

The University of Nevada, Reno is recruiting for an Administrative Assistant 3 for the Facilities Services Department. This position is responsible for providing administrative support to the Executive Assistant to the Associate Vice President (AVP) of Facilities Services.

Duties include (but are not limited to):
  • Greet, direct, and assist visitors and customers by providing information regarding agency activities, answering general questions, distributing memorandums and directing visitors to appropriate personnel or offices;
  • Answer and route telephone calls and take messages;
  • Receive, sort and deliver incoming mail and packages;
  • Maintain supply closet, order office supplies, and ensure organization;
  • Ensure office equipment is maintained and functioning properly;
  • Run errands as needed;
  • Provide backup support in maintaining calendars for the AVP and Senior Directors;
  • Schedule, organize, and coordinate meetings, conferences, and events as well as prepare materials for staff meetings;
  • Coordinate travel requests and expense reports;
  • Organize and coordinate recruitment activities;
  • Purchase items using a P-Card while following all transaction and accountability policies and reconcile transactions in Workday;
  • Assist with onboarding and offboarding employees;
  • Maintain and monitor filing records (physical and electronic) and financial information related to the department accounts, travel, certifications, licenses, and programs;
  • Resolve administrative issues and questions through researching current policies and contacting the appropriate personnel;
  • Compose, review, and edit announcements and other correspondence ensuring work quality by reviewing documents for content, completeness, accuracy and grammar;
  • Prepare reports and/or spreadsheets to summarize data or facilitate data analysis;
  • Administer and oversee projects by making key contacts, pulling from various resources, and monitoring timelines;
  • Develop checklists, initial process improvement documents, informational material, forms, templates, fliers and publications; and
  • Other duties as assigned.

PER EXECUTIVE ORDER

ALL MINIMUM QUALIFICATIONS HAVE BEEN WAIVED FOR THIS POSITION UNTIL DECEMBER 31 ST, 2024. Please refer to the link for more information: Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others.

Required Qualifications
  • This position requires graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR
  • One (1) year of experience as an Administrative Assistant II in Nevada State service; OR
  • An equivalent combination of education and experience as described above
A valid Class "C" driver's license or higher operator's license is required at the time of appointment and as a condition of continuing employment.

Physical Demands

This position requires sitting for long periods of time, frequent walking and standing for brief periods of time; lifting up to 50 pounds occasionally; exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body.

This position requires the ability to: See, Hear, Communicate through Speech.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs. This position may be able to elect an alternative work schedule.

This position is designated as Essential Personnel. In the event of a campus emergency, special event, closure to maintain campus safety or building operations, this position may be required to work outside of regularly scheduled hours.

Compensation Grade

Grade 27

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
