Job Description
The University of Nevada, Reno is recruiting for a detailed-oriented Administrative Assistant 3 to provide support to the Department Chair of Philosophy, the Director of the Lilley Museum of Art and the Art Department. The Administrative Assistant 3 will assist with daily operations and provide front-line support for students, directly supporting the department chair and faculty, processing HR transactions and maintaining fiscal accounts.
Duties include:
- Provide front-line support to students admitted to program, connect students with advisor/program coordinator, answer enrollment related questions, change program of study, grades and/or advisor
- Assist with development of course schedule and enter into PeopleSoft, review and proof room assignments
- Create and maintain student database, maintain application materials, create electronic files of course syllabi
- Supervise student worker(s) to include hire, train, assign and review work
- Manages travel requests and claims for all departmental faculty and staff
- Maintain department inventory
- Set office protocol and operational procedures
- Participate in organizing, scheduling, and coordinating special events and activities; make appropriate arrangements for parking, seating, refreshments, and other amenities. Engages with the public on behalf of the department
- Schedule appointments
- Arrange meeting logistics
- Prepare for meetings, prepare agendas and minutes
- Assist Chair with graduate assistant's schedules and assignments
- Act as search coordinator for faculty positions
- Initiate hire, onboarding, and all Workday transactions for academic, LOA's, GA's, and all hourly employees
- Human resources point of contact for department, explain rules and procedures before referring to Dean's office, if necessary
- Maintain operating, self-supporting, and gift accounts
- Establish and maintain comprehensive budget system
- Reconcile p-cards, prepare a variety of fiscal documents, reports, spreadsheets, and/or summaries
ALL MINIMUM QUALIFICATIONS HAVE BEEN WAIVED FOR THIS POSITION UNTIL DECEMBER 31ST, 2024. Please refer to the link for more information: Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others.
Required Qualifications
- Graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR
- One (1) year of experience as an Administrative Assistant II in Nevada State service; OR
- An equivalent combination of education and experience as described above.
Candidates with accounting, budgeting, minute taking, and Microsoft Office Suite experience are encouraged to apply.
Schedule
The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.
Compensation Grade
Grade 27 (Entry, Step 01 $22.13/hr. - Step 03 $24.02/hr.)
In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative
