Job Overview:

We are currently looking to hire an Executive Administrative Assistant within our Trading organization. This position serves a critical role in effective leadership and execution across the Trading Department by providing support to the Executive Vice President onsite and supplemental support to 4 Senior Vice Presidents and 1 Vice President.

Responsibilities:

  • Handle all day-to-day administrative responsibilities for EVP while being able to assist with administrative tasks for broader trading executive team.
  • Calendar all meetings, coordinate cross-functionally to identify available times and keep EVP current with any changes; create/disseminate meeting agendas and follow ups; coordinate conference rooms and/or technical needs for meetings.
  • Arrange all aspects of travel including air, lodging, and transportation in conjunction with the corporate travel department and ensure all details are situated with the locations & people EVP is visiting.
  • Foster employee engagement through support and advocacy for related activities, events and initiatives, while acting as a culture carrier across 300-person trading organization.
  • Expense management and input into Concur in a timely manner to ensure compliance with billing schedule.
  • Serve as a go-to resource for the team, assisting with cross-functional coordination, real estate and space considerations, technology requests, system access and employee acclimation.
  • Work professionally with senior executives and clients, think and work independently, be proactive, handle confidential information and work effectively and efficiently.
  • Develop strong internal relationships across the business, IT, real estate, admin community and others, to aid in efficient execution of both administrative responsibilities and overall department execution.

Requirements:

  • 5+ years' experience in an executive assistant role.
  • Must be willing to work primarily in office.
  • Extensive experience and comfort working with high-level executives.
  • Exceptional travel arrangement experience.
  • Strong technical competency, including exceptional knowledge of all Microsoft applications: Excel, PowerPoint, Outlook, Word. (MS Office Certification or equivalent operating knowledge preferred).

  • A helpful, respectful and personable approach to client and coworker interactions.
  • Personal pride in delivering exceptional experiences to clients and coworkers.

Preferences:

  • Financial Services industry experience is a plus.

Pay Range:

$28.27-$47.12/hourActual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
