This position is security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information.

Must possess a valid driver's license issued by the State where the applicant resides and must be insurable as defined in the UT System UTS 157, as applicable to the performance of essential duties and responsibilities of the position.

Purpose of Position

Coordinates and directly supports the administrative and business functions of the Keck Center, working closely with Keck Center leadership to expand research, student impact, community outreach, and economic development.

Essential Functions

Thoroughly reviews research contracts and agreements to ensure compliance with such.

Maintains a professional relationship with collaborating or supporting UTEP departments.

Processes student, staff, and faculty appointments for the Keck Center.


Processes funding changes for student, staff, or faculty appointments, required throughout the year as a result of changes in research funding.

Submits cost center applications as required by supporting UTEP departments.

Monitors activity of and reconciles all Keck cost centers, including institutional accounts, gift accounts, incentive accounts, etc.

Monitors activity of and reconciles all Keck grant funding from both, public or private sources.

Processes budget transfers or inter-departmental transfers (IDTs) for Keck Center accounts.

Processes Keck Center purchases as submitted by students, faculty, or staff.

Serves as ProCard Administrator by collecting receipts and reconciling the account on a monthly basis.

Submit access requests for key card access and/or keys to the Keck Center.

Processes travel authorizations for Keck Center personnel.

Processes reimbursements for travel, purchases, or other as need by Keck Center personnel.


Oversees all accounting activities for the Keck Recharge Center, including but not limited to invoicing, payments, check deposits, and credit card payments.


Completes bi-weekly financial reporting for Keck Center leadership, including but not limited to accounts receivable reports, account activity reports, and other intermittent reporting.

Processes institutional memberships.

Manages and maintains filing for the Keck Center including correspondence, reports and legal documentation.


Has knowledge of all Microsoft Office software and the ability to learn and use institutional software systems by attending all necessary trainings.

Complies with all State and University policies.

This individual will oversee an Accounting Specialist or similar business support staff.

Required Qualifications

Bachelor's degree from four year college or university within area of assigned responsibility.

Two years experience related to the statement of duties and responsibilities; or equivalent combination of education and experience.

Preferred Qualifications

Two years accounting experience.
