Position Overview
The Project Support Coordinator I/II/III is responsible for delivering project and administrative assistance by organizing, coordinating, scheduling, and managing financial aspects of construction and environmental remediation contracts. The primary objective is to ensure that project goals and objectives are met within designated timelines and budget constraints.
Key Responsibilities
- Draft and/or revise correspondence, reports, and procedures as requested by the Project Manager or Project Staff.
- Serve as a point of contact between the Project Manager/Project Staff and various stakeholders, including other departments and external partners.
- Manage daily administrative tasks such as expense reports, supply orders, and personnel documentation as authorized by supervisors.
- Assist in planning work schedules and coordinating project personnel and resources to maintain project timelines and budgets.
- Support the preparation of financial documents for payroll, payables, and receivables.
- Facilitate the development of client invoices, ensuring all necessary documentation is included.
- Review vendor and subcontractor invoices against purchase orders and material receipts to confirm accuracy.
- Code financial documents for input into the cost management system.
- Conduct project-related research and data analysis.
- Provide assistance to Program Managers in managing project scope, schedule, and budget for smaller projects.
- Maintain expertise in 1-2 technical areas.
- Assist with the preparation of project proposals and small task orders.
- Implement quality control measures and corrective actions for project deliverables.
- Support cost estimation and bid preparation for active proposals.
- Mentor junior staff as needed.
- Maintain organized records through systematic filing and documentation processes.
- Perform additional duties as assigned by management.
Supervision
No supervisory responsibilities.
Minimum Qualifications
Level I: 3 to 5 years of relevant experience; High School Diploma or equivalent; proficient in Microsoft Office Suite; valid driver's license with a clean record.
Level II: 5 to 7 years of relevant experience; High School Diploma or equivalent; proficient in Microsoft Office Suite; valid driver's license with a clean record.
Level III: 7 or more years of relevant experience; Associate degree in Business Administration, Accounting, or related field; experience may substitute for education on a 1:1 basis; proficient in Microsoft Office Suite; valid driver's license with a clean record; experience with Federal contracting preferred.

Physical Demands
