The Deputy Clerk II will start in probate division and eventually could be cross trained for other divisions.

Scheduling appointments for the public who need to Probate estates, file for Guardianships, Conservators, and any other needs, i.e., able to handle financial, real estate and legal matters.

When receiving applications for Probate matters and scheduling appointments and working with our criminal, civil or land record and deeds divisions.

This class is also responsible to gathers, organize, research, and examine information based on the data/information collected.

Receive, record and/or update Probate files with our Court Management system. Researching Probate Estates and Property information. Indexing and scanning daily work into the Logan System for it to be uploaded for the general public.

Prepare reports, correspondence, forms and other legal documents as required, file documents appropriately. Meet monthly deadline with the Commissioner of Accounts (Inventory, Accountings, and Foreclosure) and other state agencies. Keep up with daily statistics of what type of appointments, cases.

Probate is working on monthly deadlines for the Commissioner of Accounts (Inventory, Accountings, and Foreclosure) and other state agencies are due.


Intake of Wills and Court Orders making sure they are in accordance with the Code of Virginia, office policies and the best practices for the integrity of this office.

When examining and deciding if Wills are self-proving and/or other documents need to be examined. Court Orders being taken care of immediately.

Posting and receipting payments and fees, taxes, bond, and costs for Probate matters. When we have new and old matters concerning Estate/Guardianship/Conservatorship and additional Bond fees.

Receive, distribute, and process incoming mail and prepare outgoing documents for postal service, UPS and FedEx.

Needing to proofread all incoming and outgoing mail and distributing it accordingly or making sure it is done within a timely manner.

Assist and respond to phone and face-to-face inquiries from attorneys and the general public. Prepare, review and process legal documents, correspondence, motions and Court Orders. File documents physically or electronically.

Establish and administer policy guidelines concerning public access and use of materials. Preserve records, documents, and objects, indexing information into our Logan System for recording. Must be attentive all records are uploaded in a timely manner.
The Deputy Clerk II develops work methods and sequences under general supervision.
