Duration: 1 year Contract with the potential to extend
Location: HYBRID (Maple Grove, MN)
Start Date: ASAP
Training: 2 weeks onsite in Maple Grove.
Schedule:
- Mon-Fri 8 AM-4:30 PM CST 5 days a week 3 days you must work on site: Wednesday is mandatory to work onsite, and then flexible to pick the other 2 days you want to work onsite which could be Mon, Tues, or Thurs.
- Remote days are Friday and then one other day that you choose out of the remaining 3 days
EX:
Mon: Onsite
Tues: Remote
Wed: Onsite
Thurs: Onsite
Friday: Remote
Job Description
The Administrative will support interview scheduling and other administrative tasks. The role will partner with Recruiters and Managers across the US, scheduling interviews at multiple US locations. The primary focus is providing administrative support for the clients HR Talent Acquisition group,
Key Responsibilities
- Coordinate interview schedules with candidates and hiring teams, book travel arrangements, maintain applicant tracking using Success Factors (ATS)
- Performs general administrative duties that may include attaching resumes to calendar invites, call candidates, coordinating meetings/appointments, sending emails and saving interview request documents in Sharepoint.
- Serves as a point of contact for customers. Contacts are frequent within and outside own organization and involve obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature
- Answers complex functional questions that may require additional research and follow-up.
- Makes decisions using independent judgment under only general guidelines.
- Translates thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications.
- Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information.
- Confidential information typically consists of company/division sensitive information (i.e. new product technology).

- Build Quality into all aspects of their work by maintaining compliance to all quality requirements.
Qualifications
- High School with 1 or more years of experience in a customer service, HR, Administrative, or similar type role.
- Attention to detail
- Customer service focused
- Loves to think outside the box, research, consultative approach to provide solutions.
- Professional demeanor
- Experience using ServiceNow and AI scheduling tool is a plus.
