Office Manager / Administrative Assistant – Awesome Team – Fun and Friendly Environment

They are currently seeking an organized and proactive Office Manager / Administrative Assistant to support their operations and contribute to our continued success.
The Office Manager / Administrative Assistant will oversee daily office operations, creating a welcoming and organized environment for clients and staff while maintaining high confidentiality. This role requires strong organizational and communication skills to support smooth operations and a positive office atmosphere.
Key Responsibilities of the Office Manager / Administrative Assistant
- Greet clients and visitors; manage check-ins for deliveries and communicate with partners.
- Handle incoming calls professionally, directing as needed.
- Set up conference rooms for meetings, including refreshments and materials.
- Keep office and kitchen supplies stocked.
- Handle mail distribution and manage FedEx and personal deliveries.
- Organize client files, ensuring proper scanning, filing, and documentation.
- Manage file updates for clients and prepare folders for accounts receivable, payroll, and tax information.
- Prepare deposits, update QuickBooks, and distribute copies to partners.
- Process firm transactions, bills, and biweekly payroll.
- Organize, scan, and distribute incoming tax information for client folders.
- Prepare returns for mailing or pickup, especially during deadlines.
- Ensure office equipment functions properly and coordinate repairs.
- Manage communication with building management for maintenance requests.
- Coordinate celebrations, meetings, and social events.
Qualifications of the Office Manager / Administrative Assistant
- Experience in office management with high-profile client service.
- CPA firm, law firm or other professional firm experience a plus.
- Associate’s or Bachelor’s degree a plus, or experience in lieu of.
- Strong organizational skills with attention to detail.
- Proficiency in QuickBooks, Office 365, and related office software.
- Ability to multitask and work independently with minimal supervision.
- Outstanding communication skills.
- Friendly and professional demeanor.
- Team Player.
Target hourly range $30.00 to $34.00
