Key Responsibilities
  • Provide general administrative support to ensure seamless operations.
  • Answer incoming calls and direct them to the appropriate party.
  • Greet visitors and maintain a professional atmosphere.
  • Responsible for administrative setup of new employees, including confidentiality and inventory management.
  • Process incoming and outgoing mail and express mail shipments.
  • Assist with securing travel arrangements and expense reporting.
  • Provide support with filing, copying, data entry, spreadsheet maintenance, and Salesforce database tasks as needed.
  • Plan and execute regular company events and coordinate food orders for employee meetings.
  • Coordinate and partner with HR, Marketing, IT, Accounting, and Safety departments to provide local support.
  • Contract and negotiate prices with office vendors and service providers.
  • Provide writing and editing support for business communications.
  • Coordinate small to medium-sized facility projects, such as internal staff moves.
  • Assist with coordinating complex special projects, as assigned.
  • May assist with training other Administrative Professionals, as directed.
Requirements
  • 5+ years of recent administrative experience.
  • Proficient in Microsoft Office Suite – Word, Excel, PowerPoint, and Outlook.
  • Longevity in prior employment.
  • Superior communication, presentation, organization, multi-tasking, and problem-solving skills.
  • Ability to work independently and collaboratively.
  • Ability to maintain privacy and confidentiality.
  • 4-year degree preferred, but not required.
  • Experience with Concur Travel and Expense preferred, but not required.
