OVERVIEW:

The Manager of Administration, reporting to the Chicago office's Director of Administration, will primarily oversee a team of approximately 40 assistants including Legal Practice Assistants, Senior Legal Practice Assistants, Executive Coordinators, Executive Assistants, and Lawyer Support Assistants. This exempt-level position will also provide backup support to the Director of Administration and help to promote cross-functionality among firm departments. The standard work hours are 8:30 am to 5:00 pm, Monday through Friday, with additional hours as needed. Qualified candidates will have 5+ years of support staff management experience, including human resource functions, preferably in a law firm, professional services company, or other fast-paced environment. Undergraduate degree preferred.

ESSENTIAL JOB FUNCTIONS:

  • Manage and develop a team of law firm administrative assistants, including coordinating assignments, promoting teamwork, monitoring workflow, managing timesheets and PTO, setting performance standards, and conducting performance reviews.
  • Provide employee relations support, such as coaching, counseling, policy compliance and addressing performance issues in collaboration with Human Resources.
  • Partner with Human Resources on recruiting, hiring, onboarding, and offboarding of administrative staff.
  • Liaise with Human Resources on new initiatives and policy rollouts.
  • Assist in creating and managing a department budget.
  • Collaborate with other functional areas, including Hospitality, Reception, Records, Human Resources, IT, Finance, and Office Services, to facilitate workflows, enforce policies, and resolve issues.
  • Work closely with the Chicago Director of Administration in managing many Chicago office administrative functions and supporting firm-wide initiatives.
  • Serve as a backup to the Chicago Director of Administration and Operations/Facilities Managers.
  • Mentor new and existing administrative staff on job skills.
  • Perform other related duties and special projects as assigned.

  • Ability to lead, motivate, and develop personnel.
  • Experience managing projects and organizing events.
  • Effective collaboration in a complex management environment.
  • Action-oriented with a strong attention to detail and ability to follow instructions.
