Responsibilities:

Receptionist:

  • Answer phone calls
  • Greet visitors and clients
  • Prepare outgoing UPS packages and USPS mail
  • Receive and distribute incoming packages and mail


General Administrative Tasks:

  • Filing and record-keeping
  • Data entry
  • Email correspondence
  • Order office supplies
  • Maintain employee lists
  • Manage company car and conference room schedules
  • Log incoming checks
  • Book rental car and hotel reservations
  • Order food for meetings
  • Assist the Marketing Department with tasks and proposals
  • Maintain and distribute the master project schedule


Qualifications

  • Associate’s degree
  • 3-5 years of experience in an administrative role
  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, Access, etc.)
  • Excellent written and verbal communication skills
  • Ability to multi-task, organize, and prioritize work
  • Experience with Ecomm, Procore, or other web-based management software (a plus)
  • Familiarity with Bluebeam and AIA software (a plus)
  • Familiarity with CRM software such as Unanet (a plus)
