Lets do this. Lets change the world. Amgen is looking for a multi-faceted and organized administrative professional to support the Vice President, senior management and staff of Digital Medicine

  • Assist the Vice President and senior staff in scheduling and coordinating domestic and international travel arrangements including guest speaker visits, consultants, and candidate interviews. Provide assistance with the accurate completion of expense reports and reimbursement for visitors as needed.
  • Support senior staff with their calendars, including the responsibility, as directed by the senior staff, to propose meetings (including large multi-site multi-media events), respond to meeting requests on behalf of the staff, and maintain departmental and functional calendars and vacation/travel schedules. Attend TD senior leadership team meetings to track minutes and actions.
  • Coordinate and organize all on-site conferences and seminars hosted by digital medicine staff. This may include travel arrangements, accommodations for guests, conference room scheduling, catering, video or teleconferencing needs, and appropriate and timely announcements.
  • Among other responsibilities, the Sr. Executive Assistant and team will be responsible for choice and logistics of venue, support for organizing committees, the development of abstract booklets, order necessary supplies, arrange for easel assembly, work with catering for refreshments, point of contact for banners, and staff the poster sessions on event days.
  • Schedule and support cross-site video and teleconferences and work with AV technicians to ensure effective meeting presentations and communications.
  • Provide basic staff support for Amgens business systems for onboarding/offboarding, IS tickets, Procure-to-Pay, staff moves, Time and Attendance, Compliance, etc.Win

  • Associates degree and 4 years of Administrative experience

    Or

  • High school diploma / GED and 6 years of Administrative experiencePreferred Qualifications:
  • 5+ years of experience in an administrative support role supporting large teams at different levels
Supervisory or leadership experienceExperience working in technology-based organizationsExcellent organizational skills and ability to manage multiple peopleDetail-orientedExcellent travel and meeting planning skillsGood external customer communication skillsStrong Outlook, Excel, PowerPoint, OneNote and SharePoint SkillsExcellent Time Management skillsAbility to prioritize projects of greater urgency and importanceExcellent Project management skillsCalm under pressureAmgen experienceManaging multiple calendars including coordination across multiple time zonesExcellent written, verbal, and presentation skills in communicating key business and clinical informationExperience providing administrative support to remote staffAbility to work in a fast-paced environmentHelpful, can-do attitude with a solution-oriented approachDiscretion with proprietary informationThrive

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
