Senior Executive Coordinator

Hermeus is at the forefront of aerospace and defense innovation, dedicated to transforming air travel through the development of hypersonic aircraft. Our mission is to accelerate the creation of these advanced vehicles by leveraging a combination of hardware-intensive, iterative development alongside cutting-edge computing and autonomous technologies. This strategy has been validated through the design, construction, and testing of our inaugural turbojet-ramjet engine, and we are now advancing with our first flight vehicle initiative, Quarterhorse. Additionally, we are in the process of creating Darkhorse, an uncrewed hypersonic aircraft aimed at providing unique capabilities to support military operations.
Position Overview:
We are seeking a dedicated professional to assist in managing the diverse scheduling needs of a select group of senior executives at Hermeus. In this role, you will take ownership of the executives' calendars, facilitating their ability to effectively manage their responsibilities. Your contributions will significantly influence our mission to deliver the fastest aircraft in the world.
Key Responsibilities:
- Oversee daily scheduling for approximately three senior executives, including assessment, prioritization, and strategic recommendations.
- Handle both internal and external meeting requests with professionalism.
- Coordinate travel arrangements, including accommodations, itineraries, and all related communications.
- Serve as the primary contact for external visitors.
- Organize and host external meetings.
- Establish benchmarks for future Executive Assistant hires at Hermeus, including the development of processes and standards.
- A minimum of four years of administrative experience supporting senior executives in a corporate setting is preferred.
- Exceptional written, verbal, and interpersonal communication skills, with an approachable demeanor and the ability to engage effectively with high-level executives, clients, and colleagues.
- Proven capability to prioritize executive calendars, making informed decisions based on rapidly changing priorities.
- Strong organizational and time management skills, with a track record of managing multiple tasks and priorities while delivering high-quality results.
- A genuine curiosity and desire to understand the overarching goals of the organization.
- Ability to adapt to constant change.
- Demonstrated experience in handling confidential and sensitive information with discretion.
- Meticulous attention to detail and accuracy.
- Proficient in Microsoft Office Suite.
- Experience scheduling meetings across various time zones.
- Background in planning and booking international travel.
- Experience managing executive expense reports.
- A bachelor's degree or equivalent practical experience.
