Marcum LLP is seeking an experienced Administrative Assistant to join our growing Chicago or Deerfield office. This person will be responsible for providing full administrative support to our practice professionals. This role has the potential to grow based on the candidate’s abilities, strengths, and desire.

Responsibilities

Assist Partners and practice professionals with their business and administrative needs, including, but not limited to tax document filing, scanning and copying Compose, proofread, and review routine correspondence including engagement letters, IRS correspondence and other documents as requested. Responsible for accurate and timely completion of final deliverable Assist with the management of GoFileRoom, including workflow management related to engagement letters, extensions, returns and other tasks. Assemble electronic and paper tax returns according to standardized processes Assist with the client invoicing process, including drafting, finalizing, and delivering invoices Assist with the management of the time and billing database, including updating client addresses and information Arrange for courier and overnight services Assist with answering phones for receptionist (on “as-needed” basis) Provide back-up support for bank deposits Provide back up support for general office tasks including greeting visitors, setting up food deliveries, and maintaining cleanliness of shared office spaces

Qualifications

3 years of administrative assistant experience in a professional services firm; experience supporting a CPA preferred Strong knowledge of Microsoft Office package including track changes in Word Keen attention to detail Ability to differentiate processes and needs Experience with GoFileRoom and Prosystem Axcess a plus Strong verbal and written communication skills Positive and professional attitude a must Desire and ability to work in a very fast-paced, demanding environment with frequent deadlines Successful experience multitasking and pivoting between tasks Ability to work extended hours as required Must be able to work in the office High School Diploma required, college diploma preferred
