Basic Function

HF Sinclair is seeking a Office Services Administrator in Albuquerque in New Mexico who will be responsible for coordinating the administrative activities within assigned office environments under minimal supervision.

Job Duties

Oversees the quality of work, safety, and overall performance of assigned staff Gives work direction to assigned employees. Ensures operating efficiencies through the effective utilization of assigned resources. Coordinates and oversees the execution of company social functions, and plans and executes a variety of company parties, picnics, and celebrations. Assists the community relations officer with managing relationships with various community leaders and organizations to promote a positive company image. Ensures all functions in assigned offices operate efficiently. Supervises switchboard, mailrooms, and custodial services. Responsible for the oversite of the office safety committee and related safety programs Responsible for oversite of office budget vs actual spending Monitors and maintains building office supplies inventory. Coordinates all building security and fire system functions. Processes vendor invoices for payment Coordinates travel planning for BQ staff Coordinates all telephone system functions. Maintains all aspects of assigned office space/buildings, inside and out, including but not limited to HVAC, plumbing, electrical, painting, and roofing along with all associated vendor relationships.

May include some or all of the following:

Analyzes, prepares, and inputs annual SGA and operations budget for the Director, and provides feedback at management monthly meetings. Oversees purchase card program and program administrator, establishes policies and procedures for division-wide compliance, and administers General Ledger coding for all SGA activity. Assists with marketing activities including customer, community, and industry relations, including customer meetings/entertaining, liaison with city officials, and industry events including participation in association committees. Oversees tasks performed by office staff member(s) on any assigned or related task or area

Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.

Experience

A minimum of two to eight years of on-the-job experience is required

Education Level

A minimum of a High School Diploma or equivalent is required.

Preferred Education level

A bachelor’s degree in business administration is preferred

Required Skills

Advanced ability to apply complex clerical and data entry assignments based on broadly defined guidelines. Working knowledge of Microsoft products. Depending on location and assignment may require, advanced knowledge of RRC rules and regulations and related state Conversation Commission rules and regulations. Proficient with spreadsheet, presentation, and word processing applications; strong planning, interpersonal, organizational, leadership, tact, and maturity. Ability to communicate effectively with others, both written and verbal communication, and perform intermediate mathematical calculations. Intermediate reading and writing skills.

Supervisory/Managerial Responsibility

Supervises the work of up to two administrative staff members.

Work Conditions

Office-based with up to 10% travel by land and air required. Subject to all weather and varying road conditions.

Physical Requirements

Job conditions require standing, walking, sitting, twisting, stooping, crouching, kneeling, talking or hearing, making visual inspections, making precise hand and finger movements, reaching or grasping, lifting and/or carrying up to 40lbs, pushing and/or pulling up to 100lbs, climbing up to 20ft, and perceiving color differences.
