Description

Administrative Support:

Provide comprehensive administrative support to ensure the smooth operation of the office. Handle phone calls, emails, and other communications with professionalism and clarity.

Document Creation and Formatting:

Create, edit, and format documents, presentations, and reports using Microsoft Word, PowerPoint, and Excel. Ensure consistency in formatting and branding across all materials.

Communication:

Prepare professional correspondence, documents and detailed PowerPoint presentations for internal and external key stakeholders. Draft and proofread emails, letters, and other correspondence with precision. Coordinate internal and external communications, maintaining a high level of professionalism.

Calendar Management:

Efficiently manage FSS leaders’ calendars, schedule appointments, and coordinate meetings. Provide timely reminders and ensure all relevant details are communicated.

SharePoint Management:

Maintain and organize SharePoint sites, ensuring documents and files are up-to-date and easily accessible. Collaborate with team members to optimize SharePoint functionality.

Data Entry and Reporting:

Accurately enter and update data in Excel spreadsheets and databases. Generate reports and assist in data analysis as needed.

Meeting Management and Coordination:

Coordinate logistics for meetings and conferences, including room setup and technology requirements. Manage and coordinate complex internal and external meetings and/or events via videoconferencing, Teams and teleconference calls. Prepare, distribute, and archive meeting materials.

Travel Arrangements:

Arrange and coordinate travel itineraries, accommodations, and related logistics for team members.

Qualifications and Skills:

A candidate for this position must possess the following applicable knowledge, skills and abilities and be able to demonstrate and provide applicable examples to support his/her competency.

5+ years experience as an Administrative Assistant or in a similar role. High school diploma required; associate's or bachelor's degree is a plus. Exceptional written and verbal communication skills. Proficient in Microsoft Office applications (PowerPoint, Outlook, SharePoint, Word, Excel). Strong organizational and multitasking abilities. Attention to detail and problem-solving skills. Discretion and ability to handle confidential information. Strong problem-solving skills. “Get stuff done” attitude – willingness to roll up your sleeves and engage deeply with team members and managers, across multiple teams and agendas, to accomplish what needs to be done. A desire to effect change and an openness to innovation within a highly collaborative team environment.

Pay Range

Pay Range: $25.00 to $33.65 per hour. Base pay offered may vary depending on various factors including but not limited to job related knowledge, skills, and job specific/overall experience.
