Administrative Assistant

Location: In office - Orlando


Overview:

The Administrative Assistant provides vital support to ensure smooth and efficient office operations. This role requires a combination of organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The ideal candidate is proactive, professional, and adept at communication.


Key Responsibilities:

  • Ensure the office environment is clean, organized, and conducive to work.
  • Answer and direct phone calls, taking messages as necessary.
  • Greet visitors and direct them appropriately.
  • Respond to emails and other correspondence promptly and professionally.
  • Schedule appointments and meetings, and manage calendars for team members.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and distributing materials.
  • Prepare and edit correspondence, reports, and presentations.
  • Maintain and update databases, records, and files.
  • Assist in the preparation of regularly scheduled reports.
  • Assist with the preparation of expense reports and invoices.
  • Handle confidential information with discretion.
  • Perform other administrative tasks as assigned.

Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Proven experience as an administrative assistant or in a related role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent communication skills, both written and verbal.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Ability to maintain confidentiality.
