LHH is looking for a full-time Billing Specialist to join our client-growing company in Seattle, WA. This position will be a 6-month contract that is fully onsite at the client location.

Key Responsibilities:
  • Invoice Preparation and Issuance:

    • Generate and issue invoices based on contracts, sales orders, or services rendered.

    • Ensure that invoices are accurate, complete, and comply with company policies and client agreements.

    • Manage and maintain billing cycles to ensure timely delivery of invoices to clients.

  • Account Reconciliation:

    • Reconcile billing accounts by identifying and resolving discrepancies between billed and collected amounts.

    • Investigate and resolve any billing discrepancies, errors, or disputes by communicating with clients or internal teams.

    • Maintain accurate billing records, adjustments, and credits for customers.

  • Customer Communication:

    • Respond to customer inquiries regarding invoices, billing issues, and payment status.

    • Provide excellent customer service while resolving billing concerns in a timely and professional manner.

    • Work closely with the sales and customer service teams to ensure accurate billing information and resolve any client-related issues.

  • Collections and Follow-Up:

    • Monitor accounts receivable to ensure that payments are received on time and follow up on overdue accounts.

    • Generate aging reports and communicate with customers regarding past-due balances.

    • Assist in developing strategies for improving the collection process and reducing delinquent accounts.

  • Compliance and Reporting:

    • Ensure compliance with company policies, legal guidelines, and industry-specific billing regulations.

    • Prepare reports on billing activity, including revenue recognition, outstanding balances, and payment trends.

    • Assist with internal and external audits by providing necessary documentation and records.

  • System Management:

    • Maintain and update billing software (e.g., QuickBooks, SAP, NetSuite) and ensure the accuracy of financial data.

    • Continuously review and improve billing processes to ensure efficiency and accuracy.

    • Collaborate with IT or system administrators to resolve any issues with the billing system.

  • Collaboration with Finance Team:

    • Work closely with the accounting department to ensure that invoices are properly reflected in financial records.

    • Support the finance team with month-end closing, revenue reports, and other billing-related tasks.

    • Assist in preparing forecasts and financial reports related to billing and collections.

Qualifications:
  • Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred).

  • 2-3 years of experience in billing, accounts receivable, or a related financial role.

  • Proficiency in billing or accounting software (e.g., QuickBooks, NetSuite, SAP) and Microsoft Excel.

  • Strong understanding of billing processes, general accounting principles, and invoicing best practices.

  • High level of attention to detail, organizational skills, and the ability to handle multiple priorities.

Preferred Skills:
  • Strong communication and customer service skills to manage billing inquiries and client relationships.

  • Problem-solving abilities and a proactive approach to resolving billing discrepancies.

  • Experience with automated billing systems or ERP software is a plus.

  • Ability to work independently and as part of a team in a fast-paced environment.

Compensation: $25-$32/hour DOE
