We are offering a long term contract employment opportunity for an Administrative Assistant in West Haven, Connecticut, United States. The chosen candidate will be a part of our team, focusing on customer service, data entry, and answering inbound calls.


Responsibilities:


• Efficiently manage and respond to inbound calls using a multi-line telephone system.

• Accurately receive and transmit telephone messages promptly through different communication modes.

• Welcome clients and visitors in a professional manner upon their arrival at the office.

• Perform various clerical tasks such as maintaining office supplies, ensuring the upkeep of office equipment, and managing filing systems.

• Process and review tax returns, providing clear instructions to clients.

• Ensure efficient data entry and email correspondence to uphold client satisfaction.

• Handle the switchboard, managing between 1 to 10 lines, ensuring smooth communication flow.

• Direct visitors to the appropriate personnel or office.

• Use Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) to manage, organize, and update relevant data.

• Schedule appointments, ensuring effective time management and organization.

• Utilize basic math skills for various administrative tasks.

• Minimum of 3 years of experience working in an administrative role
• Proven experience in answering inbound calls and handling inbound outbound calls
• Demonstrated customer service skills
• Proficiency in data entry tasks
• Experience in managing email correspondence
• Skilled in the use of Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word
• Ability to schedule appointments efficiently
• Experience with switchboard phones with 1-10 lines
• Experience in directing visitors within an office environment
• Basic office skills, including organization and time management
• Basic math skills for handling office related calculations
• Excellent written and verbal communication skills
• Strong organizational skills and ability to multitask
• Ability to work independently or as part of a team
• High attention to detail and problem-solving skills
• High school degree; additional qualification as an Administrative assistant or Secretary will be a plus
