We are providing an opportunity for an Administrative Assistant in the Portland, Maine, United States region. The individual will be responsible for various administrative tasks and customer service duties, all within a long-term contract employment framework.


Responsibilities:

• Administer operational support to department leaders, enhancing efficiency.

• Efficiently handle incoming calls, emails, and visitors, ensuring optimal customer service.

• Schedule and coordinate meetings, meticulously tracking expenses.

• Assist in coordinating department events and support project data collection.

• Oversee the maintenance of office supplies and equipment to ensure a well-organized work environment.

• Act as a reliable source of departmental policies and procedures.

• Showcase professionalism and discretion while interacting with all customers, including employees, members, and the public.

• Provide aid for departmental projects encompassing reporting and basic analysis.

• Manage multiple projects by effectively prioritizing workload.

• Handle data entry tasks and maintain accurate customer credit records.

• Proficiency in answering inbound calls, demonstrating excellent communication skills
• Strong customer service skills with a focus on customer satisfaction
• Proficiency in data entry, ensuring accuracy and meticulous attention to detail
• Experience with email correspondence, demonstrating strong written communication skills
• Ability to manage both inbound and outbound calls efficiently
• Proficiency in Microsoft Excel for data management and analysis
• Experience with Microsoft Outlook for email and calendar management
• Proficiency in Microsoft PowerPoint for creating meticulous presentations
• Proficiency in Microsoft Word for document creation and editing
• Ability to schedule appointments efficiently, demonstrating strong organizational skills
