Finance and Administrative Specialist

Position Summary:
This role is essential in providing comprehensive administrative and financial support within a department or college. The successful candidate will engage in various tasks including accounting, financial analysis, payroll management, project coordination, and event organization.
Key Responsibilities:
- Manage departmental financial accounts and ensure accurate reconciliation of monthly financial statements.
- Prepare cost certification reports and monitor expenditures to ensure compliance with budgetary guidelines.
- Establish new vendor accounts and verify that invoices are allocated to the correct financial accounts.
- Handle cash deposits for specialized accounts and oversee budget and grant management.
- Analyze financial procedures and recommend improvements to enhance efficiency.
- Act as the payroll coordinator, ensuring accurate collection and processing of timesheets and leave tracking.
- Facilitate project coordination, requiring independent action and specialized knowledge.
- Assist in the hiring and training of new staff, ensuring all paperwork is completed accurately.
- Perform administrative tasks such as supply ordering, travel arrangements, and meeting coordination.
- Support faculty with various administrative needs, including travel and funding requests.
Qualifications:
Education:
Bachelor's Degree in Accounting, Finance, Business Management, or a related discipline. Equivalent experience may be considered in lieu of a degree.
Skills Required:
- Proficient in office procedures and accounting practices.
- Strong knowledge of Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Excellent interpersonal and communication skills.
- Ability to manage multiple tasks efficiently and meet deadlines.
- Detail-oriented with a focus on accuracy in data management.
Working Environment:
Standard office setting requiring prolonged periods of sitting and effective communication. The role may involve repetitive tasks and necessitates a high level of organization and initiative.
