We are excited to announce an opening for a full-time HR Administrative Specialist within our Human Resources Department. We are looking for a dynamic and enthusiastic individual to become a part of our dedicated team.


This role will provide essential administrative support to the HR Department, including:

  • Maintaining the HRIS database
  • Conducting new hire orientations
  • Managing employment verifications
  • Overseeing files and records
  • Ordering office supplies and managing inventory

This position will serve as the primary processor for all personnel changes and transactions. You will assist with benefits administration, orientation processes, bill reconciliation, and other HR-related administrative tasks.


Key Responsibilities:

  • Address employee inquiries regarding HR matters and ensure appropriate follow-up.
  • Maintain I-9 documentation and conduct background checks.
  • Assist in drafting and updating employee job descriptions and support performance review tracking.
  • Process monthly reports and collaborate with payroll on special projects.
  • Prepare onboarding materials and maintain inventory for HR supplies.
  • Draft timely and accurate offer letters for new hires.
  • Ensure all necessary documentation is included in new hire folders.
  • Conduct reference checks for prospective employees.
  • Prepare vendor invoices and manage purchase orders.
  • Update HR documents as approved by the team.
  • Process personnel action paperwork in the payroll system.
  • Support benefits-related tasks, including orientations and bill reconciliation.
  • Organize and coordinate the CORI process.
  • Manage daily mail distribution to team members.
  • Respond to employment verification requests.
  • Monitor and reorder office supplies as necessary.
  • Maintain organized HR files and overall department organization.
  • Assist with administrative duties and recruitment support as needed.
  • Ensure compliance with all relevant federal and state regulations.


Required Skills and Qualifications:

  • Exceptional verbal and written communication abilities.
  • Strong interpersonal and customer service skills.
  • Excellent organizational skills with a keen attention to detail.
  • Proficient time management skills with a proven ability to meet deadlines.
  • Familiarity with Microsoft Office Suite or similar software.
  • Experience with payroll systems, particularly ADP, is a plus.
  • Knowledge of administrative functions and responsibilities.
  • Strong problem-solving skills and resourceful thinking.


Education and Experience:

  • An Associate's degree in Human Resources Management, Business Administration, or a related field.
  • A minimum of two years of experience in office or general administrative support within HR or payroll.


Work Schedule:
The position operates Monday through Friday, 8:00 a.m. to 4:00 p.m.
