Job Summary:

We are seeking a highly organized and detail-oriented Office and Association Administrator to join our team at Perfect Search. As a key member of our operations team, you will be responsible for providing administrative support to our association members and staff.

Responsibilities:

  • Provide administrative support to association members and staff, including onboarding and exiting employees, new employee training, and scheduling monthly lunch and learns.
  • Manage office supplies, equipment, and maintenance, including annual supply orders and quarterly PTO updates.
  • Assist with planning and coordinating meetings and events, including travel arrangements and registration management.
  • Support the Director of Operations with landlord contact, security system, and cleaners.
  • Manage email systems, including updates for all clients and company website and social media management.
  • Perform a wide range of administrative duties, including mail sorting, distribution, and AP/AR management.
  • Provide exceptional customer service to association members and stakeholders, including responding to emails and phone calls.
  • Compile and distribute newsletters, create event name badges, and manage online calendars.
  • Generate quarterly website analytics reports and draft and distribute emails via Constant Contact.

Requirements:

  • 5 years of administrative experience, with a preference for association management software and non-profit experience.
  • Associates degree, with a Bachelor's degree preferred.
  • Two or more years of QuickBooks Online use and experience, with non-profit application a plus.
  • Travel 2-3 times a year for 4-5 days at a time required.
