Job Summary

The Administrative Associate is responsible for supporting the purchasing department with administrative tasks and projects. This role also serves as backup support for the customer service supervisor.

Key Responsibilities
  • Tracks purchase orders to confirm receipt and reviews certificates of compliance.
  • Matches various documentation to ensure purchase order, related certifications, and quality records are received, proofread for accuracy and completeness, and in order.
  • Enters purchase orders, printing and emailing purchase orders.
  • Checks on the status of deliveries.
  • Completes filing.
  • Assists with updating information in Purchasing ERP system.
  • Uses Excel to assist with project forecasts and tracking.
  • Provides backup support as needed to the customer service supervisor with duties such as but not limited to: processing and confirming customer purchase orders, reviewing sales orders to ensure accuracy, updating/revising sales orders as needed, and maintaining customer quote files within ERP system.
Qualification Requirements

High School diploma or general education degree (GED) and 1-3 years' office work experience.

Strong attention to detail, organizational skills, ability to multi-task, detail-oriented and accurate, pleasant and welcoming demeanor, experience with Microsoft Outlook, Word, and Excel, and ERP systems desired.

Familiarity with personal computers and computer hardware such as printers, keyboards, 10-key calculators, and scanners.

Strong written and verbal communications skills, excellent interpersonal skills required.
