Job Summary

We are seeking an experienced Administrative Coordinator to provide administrative support to the Department Chair and the Director of Phi Sigma Tau. The successful candidate will be responsible for managing the department budget, preparing reimbursement and remittance forms, and processing payments. Additionally, they will assist with producing the department schedule of courses, managing non-academic decisions, and coordinating with various departments and offices.

Key Responsibilities
  • Manage the department budget, including expenditures for department supplies, academic and student events, office furniture, and speaker honoraria.
  • Prepare reimbursement and remittance forms for approval and process payments.
  • Assist with producing the department schedule of courses, ensuring that each course is covered by a suitable faculty member without overlap.
  • Coordinate with various departments and offices, including DWC, WGS, PSP, and HUM, to ensure cross-listed coverage.
  • Create and maintain the department website, including social media updates for events and opportunities.
  • Serve as an internal resource on departmental administrative procedures, traditions, and rules.
  • Act as a front-line respondent for student questions regarding courses, registration, events, and professor availability.
  • Proctor exams, pre-register majors and minors, and over-enroll with the permission of the Chair.
  • Manage budget, room reservations, refreshments, and accommodations for student activities.
  • Sort, distribute, and route department mail, and greet visitors and answer phones.
  • Support department faculty in setting up various events, including travel arrangements, accommodations, budgeting, and remittance.
  • Assist the Chair with hiring of ordinary, visiting, and adjunct faculty.
  • Prepare, preserve, and maintain records, files, and databases, including student records, faculty tenure and promotion files, and financial records.
Requirements
  • Associate's Degree from an accredited institution required.
  • Three to five years' of administrative or office manager experience, preferably in an academic or higher education setting.
  • Working knowledge of MS Word, Excel, Outlook, WordPress, and introductory website design.
  • Excellent organizational and communications skills.
  • Flexibility, initiative, and good judgment.
  • Ability to interact with a variety of personalities.
