Description
The Administrative Coordinator II for Curriculum and Instruction will deliver comprehensive administrative assistance to the Assistant Provost of Curriculum and Instruction.
Enhance the efficiency of departmental operations and communication. Act as a liaison with various stakeholders. Manage communication, organize meetings, draft and refine various documents, and oversee the calendar of the Assistant Provost of Curriculum & Instruction.Key Responsibilities
- Serve as the front desk representative for the Curriculum & Instruction Office by addressing, filtering, and resolving phone inquiries and visitor interactions.
- Coordinate meetings for the Assistant Provost of Curriculum & Instruction.
- Arrange all logistics for committee meetings and document minutes during these sessions.
- Oversee the Curriculum and Instruction budget and evaluate budgets from all departments under its purview.
- Facilitate electronic university forms related to purchasing, budgeting, payroll, and accounts payable.
- Assist with all correspondence entering and exiting the Curriculum & Instruction office.
- Manage vehicle reservations and work orders.
- Support the Assistant Provost of Curriculum & Instruction with various reports.
- Develop class schedules for Fall, Spring, and Summer terms.
- Ensure accuracy in Course/Lab Fees.
- Prepare and maintain a training manual for Class Scheduling.
- Input Articulated Credit/Advance Placement/Certificate courses into the system.
- Maintain all articulation records and ensure they are accessible for the website.
- Supervise all documents that require approval from the Assistant Provost of Curriculum & Instruction.
Qualifications
- Associate degree or equivalent professional experience.
- A minimum of 3 years of office experience is essential.
Essential Skills and Attributes
- Proficient in computer applications, including word processing, spreadsheets, data entry, and familiarity with Google Docs and Google Drive; experience with Banner is preferred.
- Ability to compose and proofread correspondence efficiently and with high quality.
- Capable of collaborating effectively in a team-oriented environment.
- Dependable, adaptable, cooperative, and able to manage multiple priorities while maintaining confidentiality.
- Exhibit a professional demeanor and positive attitude consistently.
- Exceptional written, verbal, and interpersonal communication skills.
- Aptitude for managing frequent interruptions, balancing various tasks, meeting deadlines, and ensuring confidentiality.
- Strong organizational and time management skills with keen attention to detail.
- Demonstrate proficiency in computer software and data entry.
- Ability to collaborate and communicate effectively to build relationships with individuals at all levels within and outside the university.
- Strong problem-solving skills with the capability to work independently.
