The Healthcare Operations Specialist will be responsible for overseeing the daily operational management of designated veterinary facilities. This role will foster relationships and act as a bridge between facility leadership, healthcare teams, and support services. The individual will train and mentor Operations Technicians to ensure that tasks are performed efficiently, safely, and in compliance with industry standards. Collaboration with facility leadership and healthcare teams is essential to standardize operational processes in alignment with our mission of providing exceptional specialty healthcare for pets.

Key Responsibilities:
  • Oversee all tasks assigned to operations technicians within the designated facilities.
  • Collaborate closely with facility leadership to prioritize requests and enhance satisfaction among healthcare teams.
  • Participate in clinical management and administrative meetings to represent operations.
  • Manage operational activities within assigned facilities.
Operational Management Includes:
  • Overseeing inventory management of pharmaceuticals, controlled substances, supplies, and equipment.
  • Conducting daily cycle counts and bi-annual surgical inventory, including variance analysis.
  • Implementing visual management tools in pharmacies and central supply areas.
  • Ensuring that receiving processes are standardized and accurate, adhering to financial requirements.
  • Reviewing and approving daily invoices for Accounts Payable.
  • Working with facilities to minimize expired drugs and inventory discrepancies.
  • Ensuring prompt equipment repairs to maintain quality patient care.
  • Collaborating with Facilities Manager on upkeep, security, and project prioritization.
  • Providing training and onboarding for new operations roles.
  • Acting as the local point of contact for regulatory compliance with industry standards.
  • Serving as the primary contact for contractors on facility projects.
  • Managing and facilitating approved operational capital budget projects.
  • Coordinating the transportation of patients and supplies between facilities as necessary.
  • Identifying and implementing process improvement opportunities.
  • Driving the implementation of operational initiatives.
  • Sharing best practices across facilities.
  • Training and coaching Operations Technicians to ensure consistent practices.
  • Mentoring fellow Operations Partners.
  • Being available on-call for facility emergencies.
  • Supporting the Operations Manager in budgeting and forecasting for assigned facilities.
  • Completing operations technician tasks during their absence.
Qualifications:

The ideal candidate will possess a minimum of 5 years of experience in Operations Management. Additional qualifications include:

  • Previous leadership experience.
  • A clinical background with knowledge of the veterinary field is preferred.
  • A Bachelor's Degree in management or a related field, or equivalent experience.
  • Understanding of finance and budgeting principles, including profit and loss statements.
  • Proficiency in Microsoft Office and experience with hospital or warehouse management systems.
  • Ability to analyze large data sets and provide actionable recommendations.
  • Excellent interpersonal skills with effective communication and collaboration abilities.
  • A strong sense of organizational culture and the ability to influence behavior and drive change.
  • Capability to coach, train, and provide constructive feedback.
  • Strong project management skills with a focus on process excellence; lean six sigma experience is highly desirable.
  • Willingness to travel as needed to various locations.
