Position Overview:
The United States Courts is currently seeking applications for two entry-level Court Operations Coordinators with potential for advancement upon successful training.
Only candidates who apply through the official online application system and submit a cover letter, resume, and two professional references will be considered.
In this entry-level role, the Court Operations Coordinator will engage in various responsibilities, including processing payments, managing case assignments, and overseeing mail operations.
Upon completion of entry-level training, the Coordinator may progress to learn about case filing docketing and auditing processes to ensure compliance with court standards.
Once fully trained in these areas, the Coordinator can apply for opportunities to serve as a courtroom deputy, assist judges during court sessions, document key outcomes, and manage case files.
The advancement within this role is based on individual initiative and the ability to master necessary skills.
Key Responsibilities:At the CL 24 Level:
Handle customer payments, including cash and checks for various court-related fees, ensuring accurate daily reconciliation and compliance with financial policies.
Manage mailroom duties, including sorting, delivering, and metering mail.
Verify attorney admissions and fulfill requests for documents.
Assign new civil and criminal cases and process requests for certified copies, including case number and judge assignments.
At the CL 25 Level:
Prepare and issue legal documents such as summons, notices, and judgments; maintain accurate records of pleadings and motions on the Case Management/Electronic Case Files (CM/ECF) system.
Respond to public inquiries regarding case statuses and provide electronic filing assistance in a professional manner.
Ensure proper documentation is recorded and audit submissions to maintain compliance with court regulations.
Close cases upon receipt of final documents and manage sealed materials as required.
At the CL 26 Level:
Facilitate the smooth operation of court proceedings, including courtroom setup, participant coordination, and exhibit management.
Maintain case records and monitor the progress of assigned cases, scheduling hearings and notifying involved parties.
Serve as a liaison between judges and attorneys, providing information on procedural matters and assisting with compliance.
Process both sealed and unsealed legal documents, ensuring accurate record-keeping of all proceedings.
General Requirements:
All candidates must possess strong customer service skills.
Successful applicants will demonstrate the ability to provide clear oral and written instructions, exhibit strong organizational skills, and prioritize tasks effectively.
A foundational understanding of courtroom operations, legal terminology, and related processes is preferred but not mandatory.
Attention to detail is crucial, as is proficiency in automated systems such as Word, Outlook, CM/ECF, and PACER.
While a bachelor's degree is preferred, candidates must hold at least an associate degree. Paralegal qualifications or experience are advantageous.
