The Healthcare Operations Specialist will be responsible for overseeing the daily operational management of designated veterinary facilities. Collaboration with facility leadership and healthcare teams is essential to standardize operational processes that align with our mission of providing exceptional specialty healthcare for pets.

Key Responsibilities:
  • Oversee all duties assigned to operations technicians within the designated facilities.
  • Collaborate closely with facility leadership to prioritize requests and enhance satisfaction among healthcare teams.
  • Participate in clinical and administrative meetings to represent operational interests.
  • Manage operational activities within assigned facilities.
Operational Management Includes:
  • Overseeing inventory management of pharmaceuticals, controlled substances, supplies, and equipment.
  • Conducting daily cycle counts and bi-annual surgical inventory, including variance analysis.
  • Implementing visual management systems in pharmacies and central supply areas.
  • Ensuring standardized and accurate receiving processes that comply with financial requirements.
  • Reviewing and approving daily invoices for Accounts Payable.
  • Working with facilities to minimize expired medications and inventory discrepancies.
  • Ensuring prompt equipment repairs to minimize disruptions to patient care.
  • Collaborating with Facilities Management on upkeep, security, and project prioritization.
  • Providing training and onboarding for new Operations roles.
  • Acting as the local contact for regulatory compliance with relevant health and safety standards.
  • Serving as the point of contact for contractors on facility projects.
  • Managing and facilitating approved operational capital budget projects.
  • Coordinating patient and supply transportation between facilities as needed.
  • Identifying and implementing process improvement opportunities.
  • Driving the execution of operational initiatives within facilities.
  • Sharing best practices across different facilities.
  • Training and mentoring Operations Technicians to ensure consistent operational processes.
  • Providing 24/7 on-call support for facility emergencies.
  • Assisting the Operations Manager with budgeting and forecasting for assigned facilities.
  • Completing operations technician tasks during their absence.
Qualifications:

The ideal candidate will possess a minimum of 5 years of experience in Operations Management. Additionally, the following qualifications are required:

  • Demonstrated leadership experience.
  • Clinical background and familiarity with the veterinary industry is preferred.
  • Bachelor's Degree in management or a related field, or equivalent experience.
  • Understanding of financial principles, including profit and loss statements, balance sheets, and cash flow management.
  • Proficiency in Microsoft Office and experience with hospital or warehouse management systems.
  • Ability to analyze extensive data sets and provide actionable insights.
  • Excellent interpersonal skills with the ability to communicate effectively and foster collaboration.
  • Strong cultural awareness and capability to influence behavior and drive change.
  • Proficient in coaching, training, and providing constructive feedback.
  • Strong project management skills and a commitment to process excellence; experience with lean six sigma is highly desirable.
  • Willingness to travel as necessary to various locations.
