Position Overview:

The Grants Administrator plays a crucial role in overseeing the complete grant lifecycle, from inception and submission to post-award management. This position is integral in providing comprehensive planning and administrative support to faculty and staff during the Pre-Award phase.

In the Post-Award phase, the Grants Administrator ensures compliance and timely completion of the grant closeout process, while actively managing all financial aspects from budget formulation to finalization.


Key Responsibilities:
  • Collaborate with Principal Investigators (PIs) and administrative teams to prepare and submit grant applications in alignment with LIBD and sponsor timelines.
  • Ensure that all components required by funding announcements and sponsor regulations are addressed and communicated effectively to the PI during the application process.
  • Organize Grant review committee meetings and maintain the Grants Standard Operating Procedures (SOP), coordinating the pre-award grant approval workflow.
  • Evaluate applications to assess programmatic and operational requirements, relaying findings to Research Administration and Project Management.
  • Guarantee that proposals are comprehensive and adhere to all sponsor regulations.
  • Prepare final award documentation post-award, including budget setup and operational timelines as per the Notice of Award (NOA).
  • Manage fiscal and programmatic compliance after award and collaborate closely with Project Management and Finance for monthly reconciliations and budget forecasts.
  • Act as the primary liaison among PIs, sub-recipients, collaborators, and funding agencies.
  • Optimize and maintain an electronic LIBD grants portfolio utilizing MS Access and SharePoint.
  • Maintain active certifications for NIH ORI and SAM accounts.
  • Develop and revise policies and procedures essential for effective grants administration.
  • Perform additional duties as assigned.

Qualifications:

Minimum requirements include a Bachelor’s degree in biological sciences, public health, non-profit management, business management, or a related field. Proven experience in preparing, submitting, and managing grants is essential, with a specific emphasis on NIH grant management.

  • Ability to manage multiple priorities and self-prioritize in a dynamic, deadline-driven environment.
  • Capacity to work independently with minimal supervision, demonstrating strong adherence to timelines.
  • Proactive and adaptable, with meticulous attention to detail and strong organizational skills.
  • Proficient in MS Word, Excel, and Access.
  • Familiarity with NIH Assist, eRA Commons, SharePoint, and grant management platforms is preferred.
  • Knowledge of Cayuse is an advantage.
