Position Overview:
The Grants Administrator plays a crucial role in overseeing the comprehensive grant lifecycle, from the initial development and submission stages to the post-award management. This position is essential for providing strategic planning and administrative support to faculty and staff during the Pre-Award phase. In the Post-Award phase, the Grants Administrator ensures compliance with all regulations and facilitates the timely completion of grant closeout processes. The ideal candidate will engage in all financial aspects, from budget formulation to finalization.
Key Responsibilities:
- Collaborate with Principal Investigators (PIs) and administrative teams to prepare and submit grant proposals in alignment with LIBD and sponsor deadlines.
- Ensure that all components required by funding announcements and sponsor guidelines are addressed and communicated effectively to the PI during the proposal preparation process.
- Organize Grant review committee meetings and maintain the Grants Standard Operating Procedures (SOP) while coordinating the pre-award grant approval workflow.
- Evaluate applications to assess programmatic and operational requirements, communicating these needs to Research Administration and Project Management.
- Verify that proposals are comprehensive and comply with all sponsor regulations.
- Prepare final award documentation post-award in accordance with the Notice of Award (NOA), including budget setup and operational timelines.
- Manage fiscal and programmatic compliance after award and collaborate closely with Project Management and Finance for monthly reconciliations and budget forecasting.
- Serve as the primary liaison among PIs, sub-recipients, collaborators, and funding agencies.
- Optimize and maintain an electronic LIBD grants portfolio utilizing MS Access and SharePoint.
- Ensure active certifications for NIH ORI and SAM accounts are maintained.
- Develop and revise policies and procedures essential for effective grants administration.
- Perform additional duties as assigned.
- Bachelor's degree in biological sciences, public health, non-profit management, business management, or a related field.
- Demonstrated experience in preparing, submitting, and managing grants, with a strong emphasis on NIH grant management.
- Exceptional interpersonal, written, and verbal communication abilities.
- Capability to manage multiple priorities and adapt to a dynamic, deadline-driven environment.
- Ability to work independently with minimal supervision, demonstrating a high level of initiative and adherence to strict timelines.
- Detail-oriented, proactive, and flexible, with strong organizational skills and the ability to meet deadlines.
- Proficiency in MS Word, Excel, and Access.
- Familiarity with NIH Assist, eRA Commons, SharePoint, and other grant management platforms is preferred.
- Knowledge of Cayuse is an advantage.
