Position Overview:

The Grants Administrator plays a crucial role in overseeing the comprehensive grant lifecycle, from inception to completion. This position is pivotal in managing the Pre-Award phase, offering essential planning and administrative support to faculty and staff. In the Post-Award phase, the Grants Administrator ensures compliance and facilitates timely grant closure. The ideal candidate will also engage in all financial aspects, from budget formulation to finalization.

Key Responsibilities:
  • Collaborate with Principal Investigators and administrative teams to prepare and submit grant proposals in alignment with LIBD and sponsor deadlines.
  • Ensure all necessary components outlined in funding announcements and sponsor regulations are addressed and communicated effectively during application preparation.
  • Organize Grant review committee meetings and maintain the Grants Standard Operating Procedures (SOP) while coordinating the pre-award grant approval process.
  • Evaluate applications to assess programmatic and operational requirements, relaying this information to Research Administration and Project Management.
  • Guarantee that proposals are thorough and comply with all sponsor regulations.
  • Prepare final award documentation post-award, including budget setup and operational timelines.
  • Oversee fiscal and programmatic compliance post-award, collaborating with Project Management and Finance for monthly reconciliations and budget forecasts.
  • Serve as the primary liaison among Principal Investigators, sub-recipients, collaborators, and funding agencies.
  • Maintain an organized LIBD grants portfolio electronically utilizing MS Access and SharePoint.
  • Ensure active certifications for NIH ORI and SAM accounts are maintained.
  • Develop and revise policies and procedures essential for effective grants administration.
  • Perform additional duties as assigned.
Qualifications:

  • Bachelor's degree in biological sciences, public health, non-profit management, business management, or a related field.
  • Proven experience in preparing, submitting, and managing grants, with a strong emphasis on NIH grant management.

  • Exceptional interpersonal, written, and verbal communication abilities.
  • Capability to manage multiple priorities and adapt to a dynamic, deadline-driven environment.
  • Ability to work independently with minimal supervision, demonstrating a high level of initiative and adherence to strict timelines.
  • Detail-oriented with strong organizational skills and a proactive approach.
  • Proficient in MS Word, Excel, and Access.
  • Familiarity with NIH Assist, eRA Commons, SharePoint, and grant management platforms is preferred.
  • Knowledge of Cayuse is advantageous.
