We have an opening for a driven individual to take on the role of HVAC Emergency Project Coordinator.

In this role, the successful candidate will be instrumental in assisting the Emergency – HVAC Replace leadership with their routine duties.

The key responsibilities include, but are not limited to, outreach to contractors, collaboration with our Engineering team, creation of work orders, collection of essential documentation, scheduling and facilitating problem resolution, and providing general daily support.

Importance of This Role:

The Project Coordinator will play a vital role in supporting the execution of the aforementioned responsibilities to ensure customer satisfaction and adherence to required timelines.

Key Responsibilities:

  • Assist in the formulation and allocation of project work orders (WO) for contractors.
  • Upload and update data provided by contractors in Smartsheets.
  • Support administrative tasks, including but not limited to: communicating with Account Managers and Customers to provide project updates.
  • Ensure timely shipping of equipment as per deadlines.
  • Collaborate with the Fulfillment team to manage equipment warranty Return Merchandise Authorizations (RMAs).
  • Engage with suppliers.
  • Communicate with contractors to obtain installation quotes/unit replacements.
  • Assist with project closure and all related verifications.
  • Work with the Service team to manage and track installation-related warranty issues.
  • Ensure customer satisfaction with project outcomes, including documentation, reporting, and follow-up on installation-related matters.
  • Provide general everyday support.

Required Skills and Experience:

  • 3+ years of experience in project management or coordination.
  • Exceptional organizational skills, with the ability to prioritize and manage multiple projects simultaneously.
  • Ability to thrive in a fast-paced environment, capable of working both collaboratively and independently.
  • Strong problem-solving abilities and innovative thinking.
  • Effective communication and interpersonal skills, with the capacity to collaborate and build robust relationships with internal teams, vendors, contractors, and customers.
  • Proficiency in standard Microsoft applications, such as Word, Excel, and PowerPoint.
  • Associate's or Bachelor's Degree in Business Administration preferred.
  • Pay band (Non-exempt): $32.50—$34.50/hour

Compensation: Compensation is determined based on factors including experience level, skill set, qualifications, and location.
