Key Responsibilities:

Financial Management:

  • Support in managing financial records, basic accounting duties, and budget planning. Proficiency in Excel is crucial.
  • Regularly perform reconciliations for personal and commercial real estate accounts, along with monthly credit card statements.

Project Coordination:

  • Oversee projects across various properties, ensuring household initiatives are executed efficiently and residences are well-kept.
  • Work collaboratively with family members, administrative staff, household personnel, and external contractors to ensure project success.
  • Manage maintenance and repairs for family-owned vehicles.

Travel Management:

  • Plan and coordinate extensive travel arrangements, both domestic and international, for the family, including accommodations and transportation logistics.

Event Management:

  • Assist in the organization of events, coordinating with vendors to ensure smooth execution.
  • Manage the procurement and delivery of gifts for various occasions, such as birthdays and holidays.

Administrative Duties:

  • Handle incoming mail and correspondence.
  • Organize and maintain bills, emails, notes, spreadsheets, and all documentation for easy access.
  • Label and file electronic copies of documents and personal items systematically.
  • Assist in maintaining a calendar that includes important dates and personal appointments.

Qualifications:

  • Strong proficiency in Excel is required.
  • Ability to work independently, demonstrating initiative and delivering accurate results with minimal supervision.
  • Bachelor's degree is preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational, planning, and problem-solving abilities.
  • Adept at managing multiple tasks and priorities with attention to detail.
  • Proven experience in handling confidential information with discretion and professionalism.
  • Dependable, trustworthy, and reliable.
  • Must possess reliable transportation for commuting purposes.
