The role of the Specialized Workforce Agile Talent (SWAT) is centered on delivering administrative proficiency and solutions within a collaborative team framework. Members of this team undertake a variety of responsibilities, primarily focusing on providing backup leadership administrative support for Administrative Assistants within the Admin Services Center of Excellence (CoE) and offering cross-functional project assistance while ensuring superior customer service.
Key Responsibilities
- Collaborate with all CoE Administrative Assistants to ensure success across various functions.
- Provide desk coverage for designated Administrative Assistants during their absence, including:
- Calendar management
- Meeting and event coordination, which may encompass all logistics, agendas, and document preparation.
- Oversee global travel arrangements, including visa/passport requests and expense reporting.
- Deliver general administrative support to team members and leaders at various office locations, including:
- Data entry and research
- Meeting/event coordination
- Document scanning, printing, and refinement
- Workspace modifications
- Assembling and dispatching gift packages
- Providing tour guide services and meeting escorting
- Offer on-site assistance for Virtual Assistants.
- Utilize technical expertise to enhance general administrative processes.
- Manage long-term project responsibilities.
- Engage with individuals at all organizational levels, including clients, external organizations, and community leaders.
- Participate in special projects as needed.
Minimum Qualifications
- At least 2 years of relevant experience.
- High School Diploma.
- Strong customer service orientation with a positive and enthusiastic demeanor.
- Proficient in Microsoft Office, with the ability to integrate technology into business processes.
- Excellent verbal and written communication skills.
- Strong organizational and planning abilities with meticulous attention to detail.
- Proactive thinker capable of managing multiple priorities and adapting to changing demands.
- Ability to leverage a network of contacts to resolve issues and facilitate informed decision-making.
- High level of independent judgment and decision-making skills for complex and confidential matters.
