A Municipal Legal Administrative Assistant operates with minimal oversight from an attorney, managing the municipal and legal clerical tasks associated with a City Attorney's office.
This role also encompasses complex clerical and administrative duties requiring knowledge of legal and court procedures, transcribing, maintaining a calendar of filing deadlines, and ensuring attorneys are informed of these deadlines, along with other duties as assigned.
Key Responsibilities:
- Efficiently manage the municipal and legal requirements of the City Attorney's Office, adeptly handling time-sensitive materials.
- Thrive in a high-volume environment while interacting with a diverse clientele in a professional manner.
- Prepare a comprehensive range of documents pertinent to litigation.
- Assist attorneys with basic research, document management, and analysis for litigation, while staying updated on filing and service deadlines.

- A high school diploma or equivalent G.E.D. certification, AND;
- Two (2) years of experience in legal secretarial duties within a law office OR;
- An equivalent combination of training and experience in a high-volume administrative setting, AND;
- Ability to pass a background check.
Highly Desirable Qualifications:
- Familiarity with civil litigation processes; knowledge of Pitchess motions; proficiency in Word, Excel, and Essential Forms programs.
CERTIFICATE REQUIREMENT:
Applicants must provide a current typing certificate (issued within the last two years) verifying a minimum of 60 NET WORDS PER MINUTE with the application.
OTHER MINIMUM QUALIFICATIONS:
Knowledge of:
- Business English and legal terminology; legal forms, methods, and procedures; statutory deadlines for responding to and/or filing legal documents; computer applications relevant to the role, including legal software and word processing, spreadsheet, and database applications, preferably Word and/or Excel; typical law office operations.
Ability to:
- Draft legal documents and pleadings; communicate effectively with attorneys, staff, and the public; organize time and prioritize tasks in response to external pressures.
Skills:
- High level of general secretarial aptitude.
Working Conditions:
- Standard office environment and working conditions.
