Commercial Property Management Assistant

Job Overview
The Commercial Property Management Assistant plays a vital role in delivering exceptional property management services and supports a Property Manager in the administration of a diverse portfolio of commercial properties.
Key Responsibilities:
- Provide ongoing assistance and support to Property Managers in the oversight of a commercial real estate portfolio.
- Manage relationships with tenants and vendors, ensuring contracts and Certificates of Insurance (COI) are current.
- Coordinate property scheduling and maintain effective communication with tenants and vendors.
- Assist with financial tasks including accounting, reporting, and budgeting.
- Support lease administration activities.
Essential Duties:
- Collaborate with Property Managers to address operational issues within the buildings.
- Work closely with vendors to ensure adherence to service agreements.
- Recommend and finalize vendor contracts as necessary.
- Ensure compliance with property owners' policies, regulations, and government directives.
- Answer incoming calls and assist callers as needed.
- Process work order requests and coordinate with maintenance staff or vendors.
- Schedule property activities such as move-ins and move-outs, verifying insurance coverage.
- Follow established accounts receivable guidelines, including tenant follow-ups on rent payments and assisting Property Managers with lockouts, late fees, or demand letters as required.
- Review and ensure accurate invoice coding for payments.
- Assist Property Managers in preparing monthly financial reports tailored to owner requirements.
- Help Property Managers with the development, review, and implementation of annual operating and capital budgets, as well as operating expense reconciliations.
- Support the coordination of insurance procurement, utility procurement, and real estate tax review processes for properties.
- Ensure compliance with management agreements.
- Collaborate with Property Managers to facilitate accounting, leasing, marketing, and construction needs.
- Understand various lease types to assist in ensuring compliance.
- Process tenant billback expenses.
- Assist in responding to after-hours emergency calls as necessary.
- Participate in planning and executing tenant events with the management team.
Qualifications:
- Preferred Bachelor's Degree.
- 3-5 years of experience in the Commercial Property Management sector is preferred.
- Excellent customer service skills.
- Strong verbal and written communication abilities; experience interacting with tenants and vendors in a professional manner.
- Familiarity with real estate software (Yardi, MRI, Kardin, AvidXchange, IMPAK, or similar platforms) is beneficial.
- Basic accounting knowledge and skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks effectively.
- Proficiency in Microsoft Excel and Word.
- A desire to learn and grow within Stream Realty's property management team.
