Role Summary: The Real Estate Assistant plays a crucial role in connecting our organization with clients and partners. Key Responsibilities:

  • Manage the daily calendar and emails of the Corporate Broker/Managing Partner, ensuring timely responses and adherence to deadlines.
  • Conduct client screenings and assist in the completion of initial intake forms.
  • Research and analyze property listings based on client specifications.
  • Prepare, organize, and file contractual documents efficiently.
  • Develop and maintain Standard Operating Procedures (SOPs) for operational consistency.
  • Handle inbound and outbound communications, scheduling appointments, and coordinating travel arrangements.
  • Utilize transaction management and CRM software to maintain compliance and manage data.
  • Engage with external brokers to verify listing details and arrange property tours.
  • Contribute to marketing initiatives, including creating content for blogs, advertisements, and social media.
  • Assist in event planning and coordination to enhance client engagement.
  • Maintain a professional office environment, ensuring supplies are stocked and workspace is organized.
  • Continuously assess and improve existing procedures for operational efficiency.
  • Foster a learning environment by acquiring knowledge of commercial real estate terminology.
  • Generate weekly reports for operational meetings and accountability.
  • Perform additional duties as required.

Qualifications:

  • Strong self-starter with a disciplined approach to work.
  • Proven lead generation and sales capabilities.
  • Excellent problem-solving and time management skills.
  • Detail-oriented with the ability to work under pressure.
  • Proficient in Google applications and Microsoft Office Suite.
  • Exceptional written and verbal communication skills.
  • Organizational and project management skills are essential.
  • A Bachelor's degree is preferred; a real estate license is a plus.
  • 2-4 years of experience in sales or lead generation.
  • 3-5 years of administrative experience in a professional setting.
