Job Summary

We are seeking a highly organized and detail-oriented Property Assistant to join our team at HPI Real Estate. As a Property Assistant, you will play a vital role in the management of our retail centers, assisting the Property Manager with building operations, facility maintenance, and tenant relations.

Key Responsibilities
  • Tenant Communication
    • Establish and maintain positive relationships with tenants through regular communication, including responding to inquiries and resolving issues in a timely manner.
    • Document and track service requests from tenants, ensuring prompt attention and resolution.
    • Prepare and distribute tenant move-in/move-out notices, ensuring compliance with company policies and procedures.
    • Conduct regular property inspections and meet with tenants to address concerns and provide support.
    • Prepare and send delinquency letters and emails to tenants, ensuring timely payment of rent and fees.
  • Building Operations
    • Identify and address janitorial and maintenance deficiencies, ensuring a clean and safe environment for tenants and staff.
    • Enforce building operating regulations, including parking and common area usage, to maintain a positive and respectful community.
    • Assist with special projects, such as renovations and remodels, ensuring timely completion and minimal disruption to tenants.
    • Update work order systems and assist maintenance technicians as needed.
  • Vendor Management
    • Manage day-to-day vendor interactions, including custodial, window washing, pest control, and other services.
    • Assist with vendor onboarding, ensuring necessary documentation and insurance are in place.
  • Rent Management and Financial Reporting
    • Assist with preparation of materials, including bids and project work, for assigned buildings and functional areas.
    • Support the Property Manager in assembling monthly reports, ensuring accurate and timely financial information.
  • General Duties and Requirements
    • 2-5 years of experience in an administrative assistant/support role, with 1-3 years of real estate or property management experience preferred.
    • High school diploma required, with some college or a college degree preferred.
    • Strong administrative, organizational, and communication skills, with the ability to work independently and as part of a team.
    • Ability to adapt to change and prioritize tasks to meet deadlines.
    • Professional and confidential, with excellent customer service skills.
    • Familiarity with computer software programs, including Microsoft Office products, required.
    • Basic understanding of accounting principles preferred.
    • Commercial property management software skills, including Angus or ETS Work Order System, MRI and Yardi accounting software, Kardin, and myCOI insurance compliance software, desired.
