Position Overview:

We are looking for a Real Estate Assistant to support our Property Management team. This role is crucial in ensuring the smooth operation of property management activities, including managing communications, processing invoices, and maintaining essential records.

Key Responsibilities:

  • Administrative Duties: Provide comprehensive administrative assistance to Property Managers and field staff. This includes drafting correspondence, creating spreadsheets, and managing purchase orders. Ensure that office and building supplies are adequately stocked and maintain organized lease and other relevant files.
  • Tenant Engagement: Deliver exceptional customer service to tenants by handling inquiries and coordinating service requests. Follow up to ensure tenant satisfaction with completed work and provide necessary emergency information. Organize tenant events and manage security access requests.
  • Operational Coordination: Work closely with Property Managers and building staff to facilitate tenant move-ins and move-outs. Ensure compliance with building regulations during these processes and prepare welcome materials for new tenants.
  • Contract Management: Oversee service contracts, ensuring that all necessary documentation is current and compliant. Maintain an organized system for tracking contract expirations and submit claims as required.
  • Financial Oversight: Accurately code and monitor invoices in the accounting system, ensuring timely processing in line with company policies. Assist with financial analysis and reconcile monthly billing for tenants.
  • Additional responsibilities may be assigned as needed.

Qualifications:

  • High School Diploma or equivalent; some college coursework preferred.
  • A minimum of 2 years of relevant experience in a similar role.
  • Strong analytical skills with the ability to interpret complex documents.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Ability to handle sensitive issues and inquiries professionally.
  • Capable of motivating and guiding teams towards achieving objectives.
  • Must be able to travel locally as required.
