Job SummaryThe Assistant Facilities Manager plays a critical role in ensuring the effective operation and maintenance of our facilities. This position is responsible for coordinating facility-related activities, ensuring the quality of work performed by external contractors, and monitoring maintenance schedules.
Key Responsibilities- Oversee the daily operations of our facilities, ensuring all systems and equipment are functioning optimally.
- Conduct regular inspections of the building's infrastructure to identify and resolve issues.
- Assist in preparing budgets for facility operations, projects, and maintenance activities.
- Manage access control systems, ensuring secure entry and exit for employees, visitors, and contractors.
- Coordinate with vendors and service providers to ensure timely delivery of services and supplies.
- Optimize the use of space within the facility, including office layouts, storage areas, and common spaces.
- Maintain accurate records of space allocations and occupancy levels.
- Oversee the receiving, storage, and distribution of materials and supplies within the facility.
- Assist in planning and executing facility-related projects, such as renovations, relocations, or new construction.
- Knowledge of building systems, including HVAC, electrical, plumbing, and security systems.
- Facilities management software proficiency.
- Safety and compliance knowledge, including health, safety, and environmental regulations.
- Ability to coordinate multiple tasks and projects, including scheduling and overseeing the work of external contractors.
- Strong attention to detail in tracking maintenance activities and managing facility operations.
- Ability to prepare and present detailed reports on facility performance and project progress.
- Clear and concise communication with contractors, vendors, employees, and leaders.
