POSITION SUMMARY


The Patient Services Specialist 1, under direct supervision, delivers administrative assistance within a medical office, clinic, or other operational settings to facilitate patient care, ensuring a high standard of patient-centered service.


PRIMARY RESPONSIBILITIES

Facilitates patient interactions, including check-in and check-out processes, appointment scheduling, insurance verification, and telephone communication. Coordinates follow-up visits and referral appointments.

Assists with patient registration by gathering and confirming insurance details. Updates patient demographic information and inputs changes into the system. Guides patients to designated waiting areas.

Processes payments for medical services in accordance with established protocols.

Records payments and inputs charges into the system using appropriate coding.

Generates daily financial reports and reconciles cash drawers with these reports.

Provides precise patient, medical, financial, or procedural information to patients or authorized external parties.

May engage in discussions regarding financial arrangements with patients.

Handles incoming phone calls and assists patients and visitors effectively.

Addresses routine inquiries about practice services, operational hours, and more.

Ensures that patient complaints are managed appropriately.

Supports medical records tasks as needed.

KEY COMPETENCIES

Strong listening, interpersonal, and communication skills (both verbal and written), along with professional and courteous telephone manners.

Ability to adjust communication style to accommodate various audiences. Empathetic listener, sensitive, positive, articulate, gracious, and tactful.

Capability to promptly evaluate requests using electronic and paper resources and accurately respond to patient inquiries.

Ability to soothe distressed patients with a composed and professional demeanor.

Excellent data entry, numerical, typing, and computer navigation skills, with a keen attention to detail.

Comfortable working in a dynamic, fast-paced, and occasionally stressful environment.
