Front Desk Coordinator

Key Responsibilities:
  • Identify the desires and needs of potential members through a thorough Needs Analysis using the Guest Courtesy Card.
  • Provide information to potential members in person or via phone about club facilities and programs tailored to their specific interests.
  • Convert phone inquiries into club visits.
  • Conduct tours and offer trial memberships to prospective members, effectively showcasing equipment and facilities while guiding them through the decision-making process.
  • Encourage upgrades of existing memberships by adding family members and offering personal training packages and group training sessions.
  • Complete all necessary paperwork for accurate membership sales and records, achieving daily, weekly, monthly, and quarterly sales targets.
Member Engagement:
  • Welcome all members and their guests by name and wish them a productive workout.
  • Bid farewell to all members as they leave the facility.
  • Check Ins:
  • Process all member and guest check-ins in accordance with company protocols.
  • Ensure all members are utilizing services and programs appropriate to their membership level.
  • Manage messages on club software during member check-in.
  • Monitor the ABC screen to schedule kick-offs.
  • Address all member requests or escalate to a manager as needed.
Guest Relations:
  • Promptly and courteously greet all guests.
  • Explain membership options to guests and inquire if they would like to enroll.
  • Ensure all guests meet the qualification criteria according to company policies.
  • Provide tours for all first-time guests.
  • Follow up with all guests.
Communicate special events to both members and guests.

Administrative Duties:
  • Answer phone calls in a courteous and professional manner.
  • Become proficient in the CMS system.
  • Maintain a professional demeanor at all times.
  • Schedule member services such as tanning.
  • Facilitate payment for member services following company procedures.
  • Familiarize yourself with club facilities, services, programs, and schedules.
  • Keep a clean and organized workspace.
  • Assist with various projects as assigned by club management.
  • Adhere to all policies and procedures outlined in the Employee Handbook.
  • Take the initiative to learn opening and closing responsibilities.
