As the Senior Executive Coordinator to the President & CEO at Tal Healthcare, you will play a pivotal role in ensuring the smooth and effective operation of the CEO's office. This position demands exceptional standards, keen attention to detail, and a proactive mindset in all management facets. You will facilitate the flow of information and communication between the CEO, senior leadership, and staff, driving engagement and supporting the CEO in nurturing existing relationships while forging new ones. The Senior Executive Coordinator will report directly to the Chief Executive Officer (CEO) and provide comprehensive executive support on a daily basis. You will act as the primary liaison for both internal and external stakeholders regarding all matters related to the Office of the CEO.
Key Responsibilities
- Perform a wide range of tasks for the CEO, including managing a dynamic calendar of appointments, preparing expense reports, drafting correspondence and presentations, and organizing intricate travel arrangements.
- Oversee critical projects related to events and communications essential to the CEO's functions.
- Serve as the first point of contact for the CEO, demonstrating a professional and approachable demeanor that embodies the office's values while maintaining confidentiality and discretion.
- Ensure the CEO's schedule is respected and followed, coordinating effectively with various stakeholders.
- Communicate directly with Board members and staff regarding the CEO's initiatives and priorities.
- Screen incoming communications to the CEO, assessing their urgency and relevance.
- Research, prioritize, and follow up on issues directed to the CEO, including sensitive matters, determining the appropriate course of action.
- Facilitate clear communication between the CEO's office and internal departments, fostering credibility and trust with senior management.
- Collaborate closely with the CEO to keep them informed of upcoming commitments and responsibilities, following up as necessary.
- Lead efforts to build relationships vital to the organization's success and manage various special projects that may impact the organization.
- Complete critical deliverables with a hands-on approach, including drafting letters and personal correspondence that enhance the CEO's effectiveness.
- Act as the administrative liaison between the CEO and the Board of Trustees.
- Assist Board members as required, ensuring their needs are met.
- Coordinate with Standing Committee Leads to schedule quarterly meetings and facilitate agenda reviews with the CEO.
- Maintain confidentiality and discretion in all interactions with Board members.
- Ensure compliance with applicable regulations and bylaws concerning Board and committee matters.
- Exceptional customer service skills are essential.
- Strong organizational abilities that demonstrate the capacity to manage and prioritize multiple tasks with meticulous attention to detail.
- Excellent interpersonal skills, characterized by a friendly and polished demeanor, with the ability to cultivate relationships with stakeholders, including staff and Board members.

- Experience in contract administration or a paralegal background is a significant advantage.
- Proven track record of streamlining processes and suggesting improvements to enhance efficiency for the CEO and others.
- A Master's Degree is preferred; a Bachelor's Degree is required.
- A minimum of 10 years of experience supporting a CEO, COO, or similar C-suite executive in a healthcare setting is required.
- Experience working with and supporting a Board of Trustees is essential.
- Advanced IT skills, including proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and social media platforms.
- Flexibility in scheduling, with the willingness to extend hours as needed.
