Position Summary

We are seeking a full-time Executive Assistant to deliver high-level administrative support to our Executive Team. This role will report directly to the Head of Executive Office and is designed to be fully remote, allowing for flexibility in work location.

Key Responsibilities

The selected candidate will be responsible for:

  • Providing comprehensive administrative support to the Executive Team and other designated leadership personnel.
  • Executing clerical tasks such as composing and editing correspondence, drafting memos, and preparing communications for the Executive Team.
  • Creating and refining presentations, agendas, reports, and other documentation to align with organizational goals.
  • Assisting in managing the calendars of the Executive Team, ensuring efficient scheduling.
  • Coordinating and participating in meetings on behalf of the Executive Team, including note-taking and minute recording.
  • Collaborating with designated travel agencies to arrange travel and accommodations for the Executive Team.
  • Managing travel-related documentation, including reports, receipts, and reimbursement requests.
  • Supporting event planning and organization, including conferences, workshops, and meetings.
  • Assisting with the management of the Board and Advisory Board activities.
  • Carrying out additional tasks as assigned by the Executive Team.
Qualifications

ACLED is looking for candidates who possess the following qualifications:

  • A minimum of 3 years of relevant experience.
  • A Bachelor's degree in a related field.
  • Exceptional verbal and written communication skills.
  • Ability to work independently in a remote setting.
  • Strong organizational and time management abilities.
  • High attention to detail and sound judgment.
  • Capability to manage multiple priorities in a dynamic environment.
  • Extensive knowledge of office administration and recordkeeping practices.
  • Proficiency in Google Workspace, Microsoft Office Suite, or similar software, with a willingness to learn new tools.
  • Fluency in English is essential.
  • Willingness to travel as required (up to 15%).
