Job Title: Executive Assistant to the President/Executive Director

Role Summary:
As the Executive Assistant to the President/Executive Director, you will be integral to our mission-driven organization. This role involves providing high-level administrative and project support to the President/Executive Director and the Executive Office. You will have the opportunity to collaborate closely with senior leadership, manage essential relationships, and ensure effective communication throughout our organization.


Key Responsibilities:

  • Coordinate internal and external meetings, overseeing logistics, drafting agendas, and documenting minutes as required.
  • Establish a streamlined system for information flow to and from the President/Executive Director.
  • Manage scheduling and domestic travel arrangements for the President/Executive Director.
  • Facilitate communication and information flow to the Board of Directors.
  • Monitor and follow up on projects and action items.
  • Develop and maintain essential relationships both internally and externally.
  • Prepare internal communications and external correspondence.
  • Organize briefing materials and public speaking engagements.
  • Assist with donor communications and meetings.
  • Oversee special projects and contribute to strategic communications initiatives.


Qualifications and Skills:

  • Bachelor's degree or equivalent professional experience.
  • A minimum of 4 years of experience providing direct support to senior-level executives.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and organizational capabilities.
  • Professional demeanor and diplomatic skills when engaging with high-level stakeholders.
  • Ability to thrive in a fast-paced environment.
  • Proficiency in MS Office, particularly advanced skills in MS Outlook scheduling.
  • Strong judgment, initiative, and adaptability.
  • Flexibility to manage multiple tasks and projects simultaneously.
  • Typing speed of at least 50 words per minute.
  • Capacity to maintain confidentiality regarding sensitive information.
  • Willingness to work extended hours and travel occasionally (up to 20%).
