Join Our Team as a Property Management Coordinator

As an integral part of our Asset Services division, you will play a vital role in enhancing the experience of our tenants and supporting their innovative pursuits. Your commitment to excellence will be demonstrated through the provision of exceptional services, collaboration with our facilities team, and engagement with various stakeholders.

Key Responsibilities:

  • Communicate effectively with tenants regarding property-related matters, notifications, and engagement initiatives.
  • Assist the facilities team with administrative tasks related to maintenance, including reviewing and prioritizing work orders, and ensuring tenant satisfaction.
  • Oversee financial aspects such as invoice processing, accounts receivable, and billing inquiries.
  • Monitor tenant receivables and compile weekly financial reports.
  • Contribute to monthly accruals, annual budget preparation, and year-end reconciliations.
  • Manage service contracts, renewals, and purchase orders while collaborating with the legal team to maintain compliance with insurance and vendor agreements.
  • Update and maintain tenant handbooks, emergency plans, and contact lists.
  • Work collaboratively with building staff and vendors as required.

Qualifications:

  • A minimum of 2 years of experience in property management, hospitality, or a related field is preferred.
  • A Bachelor's degree is strongly preferred, or equivalent experience.
  • Proficient in MS Office applications.
  • Excellent communication skills are essential.
  • Experience with real estate management software is a plus.

Administrative Duties:

  • Assist with a variety of amenities, including restaurants, fitness centers, and event spaces.
  • Draft and send tenant notification letters and emails as necessary.
  • Support the Asset Services Team with special projects and event planning.
  • Participate in the preparation of the annual budget and CAM reconciliations.
  • Maintain a budget tracking spreadsheet and follow up on tenant receivables.
  • Manage work requests through the Angus system, ensuring timely follow-up with tenants.
  • Participate in site operating meetings and distribute tenant welcome packages.

Contract Administration:

  • Engage in the vendor bidding process and manage service contract requests.
  • Track contracts pending signatures and maintain accurate records.
  • Ensure all vendors and tenants have up-to-date certificates of insurance.

Accounts Payable Responsibilities:

  • Draft and manage purchase orders, ensuring proper coding and approvals.
  • Conduct audits of open purchase orders monthly.
  • Prepare utility cost reports and manage utility accounts.
