GENERAL OVERVIEW

The Secretary IV - Elementary Education plays a vital role in supporting the administrative functions of the school. This position is responsible for organizing and maintaining files, reports, and records of a confidential nature. The secretary will assist in gathering and compiling data for various reports, demonstrating initiative and attention to detail. This role encompasses a variety of clerical tasks that require a comprehensive understanding of office practices and procedures, along with frequent public interaction.

KEY RESPONSIBILITIES

1. Serve as the primary receptionist for the school, managing phone and intercom communications.

2. Provide assistance to substitute staff upon their arrival at the school.

3. Support teachers with correspondence and documentation as authorized by the principal.

4. Maintain an organized bookkeeping system utilizing an online accounting platform.

5. Accurately track enrollment and withdrawal records, coordinating with previous schools for necessary documentation.

6. Assist with daily financial deposits and accounting tasks.

7. Order and manage supplies and materials, ensuring adequate inventory levels.

8. Prepare and submit various reports on a daily, weekly, monthly, and yearly basis.

9. Oversee the collection of book fees and medical records.

10. Provide support to the school nurse in their absence.

QUALIFICATIONS

1. High school graduation or equivalent experience is required.

2. Strong knowledge of contemporary office practices, software applications, and business English.

3. Proficiency in keyboarding, file management, and report compilation.

4. Ability to establish effective working relationships with staff and the public, exercising sound judgment in administrative matters.

5. Competence in operating office equipment such as photocopiers, computers, and telecommunication devices.

6. Bilingual communication skills are valued and recognized as an asset in our diverse community.
