Job Summary

Vaco is seeking a highly skilled Payroll Manager to join our team. As a key member of our Controllers team, you will be responsible for overseeing accurate payroll processing and executing strategic initiatives.

Key Responsibilities
  • Payroll Operations: Oversee the entire payroll process, from data entry to payment, ensuring accuracy and compliance with federal, state, and local regulations.
  • Strategic Initiatives: Collaborate with internal stakeholders to identify areas for improvement and implement process enhancements to increase efficiency and reduce costs.
  • Stakeholder Management: Develop and maintain strong relationships with HR, Benefits, Compensation, Operations, Accounting, and AP teams to ensure seamless communication and collaboration.
  • Payroll System Management: Maintain and improve the ADP Workforce Now environment, including pay codes, security permissions, internal controls, tax compliance, and remediation.
  • Reporting and Analytics: Prepare and create custom reports from ADP, compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Special Pay and Deductions: Manage special pay or deductions, including annual/special bonuses, relocation, reimbursements, and other supplemental wages.
  • Payroll Liabilities: Approve the calculation of payroll liabilities, including federal and state income and social security taxes, and employer's social security, unemployment, and workers compensation payments.
  • Payroll Audits: Oversee and manage retirement plan audits (401K / PEP), review form 5500, workers compensation audit, and salary testing in conjunction with retirement plans.
  • Client Satisfaction: Maintain a high rate of client satisfaction through quality service and effective communication.
  • Compliance and Risk Management: Ensure payroll operates in compliance with federal, state, and local legal requirements and identify areas for improvement to mitigate risk.
  • Team Collaboration: Establish and maintain positive working relationships with internal teams and clients, promoting a culture of respect and confidentiality.
Requirements
  • Education and Experience: Bachelor's degree and 10+ years of relevant payroll experience, with at least 5 years of experience managing staff (family office, wealth management industry experience preferred).
  • Certifications: Certified Payroll Professional (CPP) certification.
  • ADP Workforce Now Experience: Experience with ADP Workforce Now is preferred.
  • Customer Service Mindset: A customer service mindset and professional demeanor are essential for success in this role.
  • Leadership and Collaboration: Proven leadership skills, with the ability to work collaboratively with all levels of employees and stakeholders.
